About First Student Shared Services

We are seeking an experienced Administrative Assistant to join our team in an Administrative Assistant role. In this position, you will provide administrative support to our office, performing a variety of tasks including drafting correspondence, scheduling appointments, and maintaining paper and electronic files.

Responsibilities:

  • Assist in other processes such as reconciliation, expense report preparation, invoicing, and annual budget development/compilation.
  • Answer telephones and provide information to callers, take messages, or transfer calls to the appropriate individuals.
  • Set up and maintain paper and electronic filing systems for records, correspondence, and other materials.
  • Open, read, route, and distribute incoming mail and other materials, and prepare answers to routine letters.
  • Complete and route forms in accordance with company procedures.
  • Arrange conferences, meetings, and travel reservations for office personnel, coordinate conferences and meetings.
  • Administer department programs, projects, and/or processes.
  • Order and dispense supplies.
  • Makes copies of correspondence and other printed material.
  • Support recruiting efforts by posting positions internally and externally.

Qualifications:

  • Less than 2 years experience.
  • Microsoft Office, Excel, and PowerPoint skills.
  • Good written and verbal communication skills.
  • Excellent organizational and follow-up skills.
  • Strong attention to detail.
  • Ability to utilize office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
  • Professional demeanor and confidence to work in an advanced corporate setting.
