Job Title: Administrative Coordinator

We are seeking an experienced Administrative Coordinator to join our team. As an integral part of our project support team, you will be responsible for ensuring the smooth operation of our office and supporting our project managers with administrative tasks.

Key Responsibilities:
  • Process and draft all required correspondence and ensure timely communication between departments;
  • Fulfill requests related to office management and administrative tasks;
  • Provide payroll support to the project, including daily completion of time sheet entry and responding to inquiries from site personnel;
  • Support purchasing activities, including issuing purchase orders, reconciling receipts, and data entry;
  • Receive visitors, deliveries, and communications, and direct them appropriately;
  • Coordinate executive or project management meetings, preparing necessary documents and presentations;
  • Maintain a filing system and ensure it is well-organized and easily accessible;
  • Prepare and follow up on payments for expense accounts;
  • Maintain an inventory of office supplies, equipment, and materials;
  • Complete correspondence requests, such as writing letters and completing various documentation;
  • Coordinate travel arrangements as needed.
Requirements:
  • Post-secondary education in Business Administration or a similar program, or a combination of relevant training and experience;
  • A minimum of 12 years of experience in a similar role, preferably in the construction industry;
  • Excellent command of Microsoft Office Suite and Outlook applications;
  • Knowledge of the construction industry;
  • Bilingualism in French and English is considered an asset.

Compensation and Benefits:

We offer a competitive salary range of $60,000 - $80,000 per year, depending on experience. In addition to a comprehensive benefits package, including four weeks of annual vacation, flexible group insurance, and a retirement savings plan, we also provide opportunities for professional development and growth.
