Job Title: IT Project Coordinator

Job Summary:

We are seeking a highly skilled IT Project Coordinator to join our team at Okanagan College. As an IT Project Coordinator, you will play a crucial role in assisting IT and other departments with the development, planning, execution, and closure of projects.

Key Responsibilities:

  • Assist with the development of project plans from problem definition through design, implementation, and post-implementation review using project management best practices, tools, and standards including status reporting.
  • Align activities within each project to ensure deliverables and expectations can be met in terms of deadlines, budget, human capital, and other resource requirements.
  • Recommend project success criteria and conduct project post-mortems to ensure continuous improvement.
  • Facilitate stakeholder management processes and recommend appropriate communication plans, presenting to stakeholders, management, and executive as required.
  • Coordinate tasks, deliverables, and priorities amongst project participants and monitor established deadlines, achievement of milestones, and recommend revisions to activities as appropriate.
  • Administer changes in project scope and identify risks as well as related contingency plans and recommend necessary follow-up actions.
  • Track the progress towards key goals, ensuring quality standards and deadlines are met and any identified conflicts are reported and managed by the appropriate project stakeholder.

  • Conduct feasibility studies and identify opportunities for improvement to service.
  • Participate in the development of IT strategies in collaboration with other members of the IT Management team.
  • Maintain current knowledge of a broad range of technologies.
  • Perform other duties as assigned.

Education and Experience:

We require a two-year diploma or technical training in a related discipline or equivalent. PMP designation is an asset. A minimum of four years of related project management experience, including experience with project management tools and techniques, is required.

Skills and Abilities:

  • Proven project management skills with multiple project/program management methodologies and tools across a range of projects.
  • Exceptional interpersonal, written, and oral communications skills.
  • Ability to liaise with clients and assist in the definition and articulation of their requirements.
  • Ability to produce clear, concise, unambiguous, and easy-to-read documentation including project charters, plans, requirements, proposals, workflow, functional design, status reports, presentations, and stakeholder communications.
  • Identify and manage project milestones, deliverables, dependencies, and critical path.
  • Ability to conduct research and effectively analyze, understand, and evaluate the business and application functional impacts of modifications or enhancements.
  • Work both independently and as a strong team player with an aptitude for working in a collaborative environment.
  • Ability to prioritize and execute tasks in a high-pressure environment and make sound decisions in emergency situations.
  • Ability to present ideas and concepts of a technical nature to a non-technical audience.
  • Highly self-motivated, proactive, and results-driven.
  • Strong customer service orientation, quality-focused mindset.
