Administrative Support for Academic Programs

The British Columbia Institute of Technology is seeking a highly organized and detail-oriented individual to support the administration of academic programs. As a Program Coordinator Assistant, you will play a vital role in ensuring the successful delivery of courses and programs.

About the Role

This full-time position reports to the Associate Dean and may receive functional direction from the Part-time Studies (PTS) Coordinator and/or the Administrative Coordinator. You will provide administrative and operational support, including information and academic advising to students, responding to inquiries, and performing duties within the scope of the position.

You will maintain awareness of Program Head and/or Manager's goals and objectives, establishing priorities and flagging items requiring immediate attention. Additionally, you will generate, prepare, and distribute various business analytics-based reports related to program declarations, historical enrollment, budget information, instructor contract details, operating costs, break-even information, and more.

You will also support the PTS and/or Program Coordinator and the School of Business + Media Marketing department in coordinating, preparing, and implementing marketing and promotional activities, such as representing Digital Arts, Media and Design PTS at Information Sessions, Careers Fairs, etc., undertaking social media campaigns.

Responsibilities
  • Provides information and academic advising to students, responds to inquiries, and performs administrative duties within the scope of the position.
  • Maintains awareness of Program Head and/or Manager's goals and objectives, establishing priorities and flagging items requiring immediate attention.
  • Generates, prepares, and distributes various business analytics-based reports related to program declarations, historical enrollment, budget information, instructor contract details, operating costs, break-even information, and more.
  • Supports the PTS and/or Program Coordinator and the School of Business + Media Marketing department in coordinating, preparing, and implementing marketing and promotional activities.
  • Maintains website content for programs, interacts and communicates with the School of Business + Media Marketing Coordinator, and Student Services to ensure adherence to applicable website policies and procedures.
  • Provides course and program information to students to orient and resolve problems through in-person communication, phone calls, email, and mail.
  • Liaises between students, instructors, coordinators, and managers.
  • Facilitates term start-up process by providing class lists, contracts, course outlines, parking passes, and any other materials instructors require.
