Purchasing Specialist Job Description at Woodstock Grocers

Woodstock Grocers is seeking an experienced Purchasing Specialist to join our team. This role involves managing the procurement process, from requisition to delivery.

About the Role
As a Purchasing Specialist at Woodstock Grocers, you will be responsible for purchasing goods and services for our retail/wholesale establishment/distribution centre. You will work closely with suppliers, Canada Customs, and internal stakeholders to ensure timely and cost-effective deliveries.

Responsibilities

  Provide accurate information on available materials to customers and staff
  Charge or forward invoices to appropriate accounts in a timely manner
  Obtain price quotations from catalogues and suppliers to ensure competitive pricing
  Prepare and maintain purchasing files, reports, and records to track inventory levels and orders
  Prepare purchase orders and process purchases efficiently
  Resolve delivery and other problems with suppliers in a professional manner
  Review requisition orders for accuracy before processing
  Set up and maintain inventory control system to optimize stock levels and reduce waste
  Verify stock availability from current inventories to prevent overstocking or understocking
  Compile inventory reports to identify trends and areas for improvement
  Conduct quality control checks on received goods to ensure they meet company standards
  Dispose of and account for outdated stock in accordance with company policies
  Liaise with Canada Customs to ensure compliance with regulations and customs procedures
  Maintain stock rotation to ensure older items are sold or used before newer ones
  Monitor inventory levels of issued materials and stocks to prevent shortages or surpluses
  Pack items for shipping and distribution efficiently to ensure timely delivery
  Place stock on shelves in an organized and visually appealing manner to enhance customer shopping experience
  Prepare inventory costs, retail pricing, and profit reports to inform business decisions
  Prepare requisition orders to replenish stock as needed
  Reconcile physical inventories with computer counts to ensure accuracy and minimize errors
  Record the quantity, type, and value of stock on hand using computerized or manual inventory system
  Unpack goods received and verify receipts and packing slips to ensure accuracy and completeness

Experience and Specialization
The ideal candidate will have 1 year to less than 2 years of experience in a similar role. Strong computer skills, particularly in MS Excel, MS Word, MS Office, and MS Windows, are required.

Work Conditions and Physical Capabilities
This role requires attention to detail, ability to work in a fast-paced environment, handling heavy loads, physically demanding tasks, repetitive tasks, standing for extended periods, and non-smoking work site environment.
