Job Title: Payroll Supervisor

We are seeking a highly skilled and detail-oriented Payroll Supervisor to join our team at School District #35. As a Payroll Supervisor, you will be responsible for ensuring the accurate and timely preparation of all payrolls and manual cheques in compliance with contractual and government guidelines.

Key Responsibilities:
  • Ensure the integrity of the payroll databases through monitoring and compliance with established procedures and internal controls.
  • Supervise payroll employees, including planning, organizing, assigning, scheduling, and coordinating of work.
  • Calculate and monitor vacation schedules and vacation pay entitlements.
  • Input and retrieve data, including new employees, changes in employee status, hours worked, etc.
  • Calculate and balance payrolls to control figures.
  • Perform functions necessary to run payrolls, including editing and balancing batches, running payroll processing programs, updating payroll system history, system backups, and Electronic Funds Transfer.
  • Reconcile general ledger accounts to payroll records and prepare remittances to Revenue Canada, benefit carriers, pension plans, unions, etc.
  • Answer inquiries from staff and the public by letter, telephone, or in person, and relay messages as required.
  • Maintain effective working relationships between individual payroll employees and between payroll and other staff.
  • Verify and/or provide information related to employment status and earnings for external agencies, such as I.C.B.C., financial institutions, Revenue Canada, and other school districts.
  • Prepare various reports on a periodic and annual basis, such as pension reports, seniority lists, T-4 slips, WCB reports, etc.
  • Calculate adjustments to statutory benefits for persons on multiple payrolls. Print, burst, and distribute pay statements, cheques, and reports.
  • Assist with District budget preparation, including calculation of salary and benefit costs. File and maintain a variety of confidential and non-confidential materials.
Requirements:
  • Grade 12 graduation plus completion of the Payroll Management Certificate Program (Level III) or equivalent.
  • Three years of related experience on a computerized payroll system.
  • Ability to supervise payroll employees.
  • Proficiency and speed in the use of calculators and a good aptitude for figures.
  • Ability to work with constant interruptions and the necessity to meet deadlines.
  • Ability to maintain close attention to detail for periods of sustained duration.
  • Ability to communicate effectively using tact, discretion, and diplomacy in contacts of a difficult or specialized nature.
  • Ability to interpret, analyze, and use judgment in the application and modification of methods and procedures.
  • Good working knowledge of legislation and regulation relative to payroll, including Employment Standards, EI, CPP, WCB, income tax, employee benefit plans, and collective agreements.
  • Advanced knowledge of computers.
  • Physical ability to perform the required duties.
