Human Resources Associate

About the Position:
This is a temporary part-time administration role at Lambton College, reporting to the Manager Human Resources - Compensation & Benefits. The successful candidate will work 24 hours per week at a rate of $29.62/HR for a period of 1 year.
Key Responsibilities:
The HR Associate will provide front-line customer service to College leaders, employees, and students with respect to all Human Resources services. This includes addressing confidential inquiries and information, determining appropriate courses of escalation, and taking primary responsibility for all general office duties.
Accountabilities:
- Receive and review new hire documents
- Administer the overall process of onboarding new employees
- Populate missing new hire information in Colleague, HRIS, and MS Teams
- Review and update onboarding checklists
- Answer questions regarding new employee training
- Act as receptionist for the department, responding to routine telephone and personnel inquiries
- Advises leaders and staff to remain in the lobby until the appropriate HR person is available
- Greets visitors, screens them, and responds to their needs or refers them to the appropriate person
- Ensures office supplies are stocked and orders inventory when required
- Receives and distributes all incoming and outgoing mail
- Responsible for filing items in personnel files or entry in MS Teams and archiving inactive employee files
- Supports the management team in planning and organizing meetings, including logistics, agendas, documentation, and calendars
- Processes invoices, obtains signatures, and routes to Accounts Payable
- Processes tuition subsidy reimbursements
- Enters vacation/sick allotments for new hires and assists with reporting requirements and audits
- Assists with leave packages
- Processes employment letters
- Assists with Org Charts
- Participates in team activities and events, providing support to other members of the team
- Assists with the annual Employee Recognition/Retiree Event
Qualifications:
The successful candidate will possess a minimum of a 2-year post-secondary diploma in Human Resources or equivalent education as determined by the College. Completion of, or working towards, CHRP/CHRL is considered an asset. A minimum of three years of experience in Human Resources Administration is required, preferably with direct experience with HRIS systems, pension and benefits, and onboarding staff.
The ideal candidate will have excellent time management, organizational, prioritization, and task consolidation skills. They will also have the ability to gather information, analyze, evaluate, formulate, and recommend appropriate courses of action. Excellent communication and interpersonal skills, including a consultative approach, are essential. Demonstrated HRIS experience and Microsoft Office software proficiency, specifically Excel, are required. General knowledge of Collective Agreements and employment-related legislation is also necessary. Knowledge of benefits/pension plans and superior attention to detail and a high degree of accuracy are required. The successful candidate will be able to work in a fast-paced, high-volume environment with strong multi-tasking and prioritizing abilities. Tact and discretion to recognize and maintain strict confidentiality of sensitive information are essential. A strong client focus with an awareness of and sensitivity to diversity is also required. The ability to build relationships at all levels of the organization is necessary.
