About the Role:

The University of Toronto's Department of History is seeking an experienced Executive Assistant to provide key support to the Chair. This role will play a pivotal part in managing the Chair's time, ensuring their schedule is optimized for important priorities and decisions.

Key Responsibilities:

  • Coordinate the academic life cycle for appointed faculty, including academic searches, tenure, and promotions proceedings.
  • Administer human resources processes and policies, preferably in an academic environment.
  • Assist with the planning of events and coordinate meeting schedules, agendas, materials, action, and follow-up items for the Chair.
  • Prepare and coordinate all related documents, including statistical reports and summaries.
  • Order supplies within established limits and maintain record and filing systems.

Requirements:

  • Advanced College Diploma in Business or Administration or acceptable combination of equivalent experience.
  • Three years of relevant executive assistant experience in a fast-paced academic or related professional work environment.
  • Extensive experience in efficiently managing one or more executive schedule/calendar.
  • Strong computer skills and comfort with e-mail communication, web tools, and Internet applications.
  • Strong organizational and time management skills with a superior ability to oversee an executive's schedule.
  • Excellent interpersonal skills with a superior service orientation and ability to deal tactfully and effectively with students, staff, and faculty.
