Job Summary:

The Work Coordinator and Operations Analyst for Facilities Operations is a dynamic role that balances customer service, operations support, and financial analysis. This position is responsible for resolving time-sensitive issues, coordinating service calls, and managing work orders through Archibus.

The successful candidate will provide exceptional customer service, track and manage calls and work orders, and support the Facilities Operations front desk during hybrid work schedules or time off. Additionally, they will assist in maintaining the financial health of the department by running reports and creating dashboards to visualize the $8M utilities and operating budget.

Key Responsibilities:
  1. Provide exceptional customer service to faculty, staff, and students, resolving time-sensitive issues and coordinating service calls.
  2. Manage work orders through Archibus, ensuring timely completion and follow-up.
  3. Support the Facilities Operations front desk during hybrid work schedules or time off, handling service desk requests, tracking attendance, and distributing keys.
  4. Assist in maintaining the financial health of the department by running reports and creating dashboards to visualize the $8M utilities and operating budget.
  5. Collaborate with leadership to identify process improvements and track key performance metrics.
Qualifications:
  1. A minimum of a 3-year diploma or degree in Business Administration, Information Technology, or Facilities Management.
  2. A minimum of 1-year of work experience in an office environment and data/business analyst role.
  3. Proficiency in Microsoft Office suite, Microsoft Power Automate, Forms, and similar tools; certificate in some business analysis tool such as Microsoft Power BI.
  4. Experience with Archibus or similar computerized work order systems is an asset.

Hourly rate: $28.52

Part-time support opportunity (classification): Appendix 2- Project of a Non-Recurring Kind; November 2024 to November 2025

Hours: up to a maximum of 40 hours per week.
