We are a dynamic company seeking an experienced and detail-oriented individual to fill the role of Executive Office Coordinator at our office. This is a permanent position offering 35 hours per week.

Job Summary

The successful candidate will be responsible for establishing efficient office procedures, scheduling appointments, and providing exceptional customer service. This role requires strong organizational skills, attention to detail, and excellent communication abilities.

Responsibilities
  • Determine and establish effective office protocols and routines
  • Schedule and confirm meetings and appointments in a timely manner
  • Handle incoming calls, respond to emails, and direct inquiries to relevant personnel
  • Gather and compile data, statistics, and other relevant information
  • Manage office supplies, maintain inventory, and order materials as needed
  • Arrange travel itineraries, make reservations, and ensure smooth logistics
  • Welcome visitors, direct them to the appropriate contacts or services, and provide general assistance
  • Create and maintain accurate manual and digital filing systems
  • Compose and proofread correspondence, forms, and other documents with precision
Requirements
  • Secondary (high) school graduation certificate
  • At least 7 months to less than 1 year of experience in a similar role
