Job Summary

We are seeking a highly organized and detail-oriented Purchasing Coordinator to join our team at Delmanor Communities. As a key member of our procurement team, you will be responsible for ensuring the smooth operation of our purchasing processes, from procurement to payment.

Key Responsibilities
  • Manage the procurement process, including purchasing, receiving, and paying for goods and services.
  • Investigate discrepancies between purchase orders and invoices, working closely with the Accounts Payable specialist.
  • Coordinate the process for purchase orders and change orders for major renovations in our communities.
  • Support various rebate programs to ensure timely receipt of rebates.
  • Oversee the off-site records management and storage process.
  • Maintain a company-wide contract database.
  • Ensure compliance with procurement policy and standard contracting procedures.
  • Monitor warranties and scheduled maintenance for all relevant equipment, in accordance with contracts.
  • Flag upcoming contract renewals to the relevant internal stakeholders.
  • Assist in processing insurance claims and annual renewals.
  • Collaborate with the Accounting team to ensure accurate recording of claim deductibles and payouts.
  • Coordinate claim paperwork, ensuring timely processing and flagging any concerns.
  • Verify that insurance policies are up-to-date.
  • Maintain Health and Safety meeting logs.
  • Document renovation and restoration work completions.
Requirements
  • Minimum 1 year's experience in a similar role; recent graduates with a relevant co-op placement will be considered.
  • Completion of a University or College degree or diploma in Business Administration is required.
  • Experience with purchase order systems is essential.
  • Ability to read and understand contract basics, insurance policies, and warranty information.
  • High level of attention to detail.
  • Excellent written and oral communication skills in English are required.
  • Ability to process high volumes of work quickly, efficiently, and accurately, with the capacity to work independently.
  • Intermediate computer skills in MS Excel and Word are necessary.
  • Knowledge of Yardi Voyager systems and Payscan is considered an asset.
  • Positive attitude with an interest in working in the seniors' field.
  • Good organization and people skills, with the ability to maintain relationships and support a team environment with head office and site personnel.
  • Approachable and willing to listen and communicate effectively.
