Job Summary

We are seeking a highly organized and detail-oriented Purchasing Coordinator to join our team at Delmanor Communities. As a key member of our procurement team, you will be responsible for ensuring the smooth operation of our purchasing processes, from procurement to payment.

Key Responsibilities
  • Manage the procurement process, including purchasing, receiving, and paying for goods and services.
  • Investigate discrepancies between purchase orders and invoices, working closely with the Accounts Payable team.
  • Coordinate the process for purchase orders and change orders for major renovations in our communities.
  • Support various rebate programs to ensure timely and accurate rebates.
  • Oversee the off-site records management and storage process.
  • Maintain a comprehensive contract database company-wide.
  • Ensure compliance with procurement policy and standard contracting procedures.
  • Monitor and log warranties and scheduled maintenance for all relevant equipment, in accordance with contracts.
  • Flag upcoming contract renewals to the relevant stakeholders.
  • Assist in processing insurance claims and annual renewals.
  • Collaborate with the Accounting team to ensure claim deductibles and payouts are accurately recorded.
  • Coordinate claim paperwork, ensuring all filings are processed promptly and concerns are flagged.
  • Ensure insurance policies are up-to-date.
  • Maintain accurate records of Health and Safety meetings and renovation completions.
Requirements
  • Minimum 1 year's experience in a similar role; recent graduates with relevant co-op experience will be considered.
  • University or College degree or diploma in Business Administration or a related field.
  • Experience with purchase order systems and intermediate computer skills in MS Excel and Word.
  • Ability to read and understand contract basics, insurance policies, and warranty information.
  • High level of attention to detail and strong organizational skills.
  • Excellent written and verbal communication skills in English.
  • Ability to process high volumes of work efficiently and accurately, working independently.
  • Knowledge of Yardi Voyager systems and Payscan is an asset.
  • Positive attitude and interest in working in the seniors' field.
  • Good organization and people skills, with the ability to maintain relationships and support a team environment.
