Job Description

We are seeking a highly organized and detail-oriented Administrative Coordinator to support our office in Downtown Ottawa. As a key member of our team, you will be responsible for overseeing daily administrative tasks, ensuring efficient office operations, and providing guidance to maintain a productive work environment.

Your primary duties will include:

  • Managing various administration tasks, such as managing office supplies and inventory, ordering and restocking as needed;
  • Providing high-level administrative support for executive assistants, including preparation and management of correspondence, reports, presentations, and other documents;
  • Identifying and implementing process improvements to enhance reception efficiency and overall productivity;
  • Maintaining office policies and procedures, ensuring compliance with company standards;
  • Supporting the coordination and facilitation of office events, meetings, travel-related accommodations, and other activities;
  • Supporting the office Joint Health and Safety Committee (JHSC) with maintaining safety protocols and emergency procedures;
  • Responding to telephone, postal mail, email, and in-person inquiries from clients, business partners, and other parties;
  • Completing forms, letters, reports, and memos as necessary; and assisting in the compilation of data for various reports;
  • Organizing, maintaining, and coordinating office records and files in their proper locations;
  • Arranging and booking meetings in boardrooms, off-site conference halls, and other locations, ensuring the appropriate presentation equipment is available.

Required Skills and Qualifications

To succeed in this role, you will need:

  • A minimum of 3 years of experience in an office administration role;
  • Technology literacy and proficiency in standard office equipment, including Microsoft Office Suite (Word, Excel, PowerPoint), and office management software;
  • Good communication skills, both written and verbal;
  • A high expectation for detail-orientation and confidentiality;
  • Good coordination, time management, and organizational skills;
  • Strong interpersonal skills and a high degree of self-awareness and professionalism;
  • Knowledge of office management processes, financial principles, and compliance requirements;
  • Able to maintain filing systems and basic databases, with meticulous records maintenance skills;
  • Superior telephone manners and strong interpersonal skills.
