Reporting Structure
Accounts Receivable Responsibilities
- Ensures revenue integrity by confirming and recording payments; addressing discrepancies as they arise.
- Provides financial, clerical, and administrative support to guarantee efficient, prompt, and precise payment processing.
- Evaluates overdue accounts and prioritizes collection strategies.
- Prepares comprehensive accounts receivable reports for management review.
- Maintains organized filing systems and account statements.
- Reviews credit balances, processes refunds, and makes necessary adjustments.
- Addresses billing discrepancies and rectifies misapplied cash transactions.
- Records customer payments through various methods including cash, checks, credit cards, and direct deposits.
- Validates account discrepancies by gathering and investigating information from Sales, Customer Service, and clients.
- Monitors customer account details for non-payments, delayed payments, and other irregularities.
- Engages with customers through various communication channels including in-person, telephone, email, and mail.
- Maintains detailed accounts receivable customer files and records.
- Reviews accounts receivable aging reports to ensure compliance with company policies.
- Generates and dispatches overdue invoices and statements.
- Contacts clients regarding outstanding accounts to ascertain reasons for non-payment.
- Recommends the transfer of accounts to a collection agency when necessary.
Administrative Support Duties
- Welcomes visitors by greeting them, either in person or via telephone; addresses inquiries or directs them appropriately.
- Receives and organizes daily mail, deliveries, and courier services.
- Updates appointment schedules, vacation calendars, and coordinates meetings.
- On a monthly basis, manually prepares and sends invoices.
- Performs additional clerical tasks such as filing, photocopying, and faxing as required.
- Completes other related tasks as assigned by management.
Qualifications
- Familiarity with TRUX is considered an asset.
- A minimum of two (2) years of relevant experience in the waste management or a related sector.
- Excellent communication skills are essential.
- Self-motivated individual with high energy and enthusiasm for the role.
- Ability to work independently as well as collaboratively within a team.
- A valid driver's license is required.
