Project Coordinator Specialist

We are seeking an experienced Project Coordinator to join our team at BFG Enterprise Services. As a key member of our Electrical Division, you will play a crucial role in ensuring project plans and progress align with goals and objectives.
Job DescriptionThis is a unique opportunity for a highly organized and detail-oriented individual to coordinate projects from start to finish. Your primary responsibility will be to monitor project progress, manage budgets, and provide administrative support to project managers.
The ideal candidate will have excellent communication skills, be proficient in Microsoft Office, and possess strong electrical and construction knowledge. With 4-6 years of experience in project coordination, a diploma or degree in Business Administration or Project Management, and PMP Certification as an asset, you will be well-equipped to succeed in this challenging role.
Key Responsibilities- Analyze project proposals and collaborate with senior management on expected service deliverables and outcomes.
- Coordinate approved project plans, including scheduling, time frame to completion, funding, and staffing.
- Support project staff and assist with project management activities.
- Calculate charges, generate invoices, and statements for accurate and timely billing.
- Maintain relationships with clients, suppliers, workers, and vendors.
- Coordinate work packages, scheduling, and work plan interfaces with vendors.
- Perform data entry of Requests for Information (RFIs), Requests for Quotations (RFQs), Change Notice Submittals, and follow-ups.
- Collect, review, and submit weekly timesheets.
- Conduct purchase order entry.
- Prepare tender quotations and ensure they are submitted on time.
- Assist with pricing of time and material projects.
- Prepare and submit Operating and Materials manuals, warranties, and inspection certificates.
- Prepare and submit statutory declarations for the accounting department.
- Prepare and communicate material picks from Warehouse personnel.
- Prepare project status reports by collecting, analyzing, summarizing information, and trends.
- Print drawings for tender quotations, foreman copies, and as-built documentation.
- Perform general administrative duties as required by Electrical Services Management.
- 4-6 years of project coordination experience.
- Diploma or degree in Business Administration or Project Management.
- PMP Certification is an asset.
- Experience working in fast-paced and dynamic construction and related environments.
- Experience scheduling resources and other team members.
- Proven experience preparing work orders and scope of work communications.
- Experience preparing and submitting reports in a timely and accurate basis.
- Strong electrical and construction background and experience.
- Great understanding and working knowledge of Project Management methodologies.
- Proficient in the use of Microsoft Office, specific to Outlook, Word, Excel.
- Knowledge of asset management, including inventory tracking and reporting.
- Ability to prepare invoices, monthly billings, purchase orders, and other accounting documentation.
- Excellent communication skills through email, phone, and face-to-face interactions.
The estimated salary for this role is $60,000 - $80,000 per annum, depending on experience and qualifications.
