Key Responsibilities
  • Communication and Reception
    • Receive and forward telephone and electronic inquiries in a professional and courteous manner.
    • Provide general information to clients and the public, responding to their queries in a timely and accurate manner.
  • Administrative Support
    • Work on reports from manual or electronic files, inventories, and databases, ensuring accuracy and attention to detail.
    • Send and receive messages, both internally and externally, using various communication channels.
    • Compile data, statistics, and other information to support business decisions.
  • Office Management
    • Photocopy and collate documents for distribution, mailing, and filing, maintaining a high level of organization and efficiency.
    • Order office supplies and maintain inventory, ensuring that the office is well-stocked and equipped.
    • Perform data entry tasks, accurately and efficiently.
  • Customer Service
    • Provide exceptional customer service, responding to client inquiries and resolving issues in a professional and timely manner.
  • File Management
    • File material in storage areas, maintaining a high level of organization and accessibility.
    • Label files according to retention and disposal schedules, ensuring compliance with company policies.
    • Label, file, and retrieve documents, ensuring accuracy and efficiency.
    • Locate and remove files requested, maintaining a high level of attention to detail.
  • Work Organization
    • Organize and schedule office work, prioritizing tasks and managing time effectively.
Requirements
  • Education
    • Secondary (high) school graduation certificate or equivalent experience.
  • Work Experience
    • 1 year to less than 2 years of experience in an administrative or office support role.
  • Language
    • Fluency in English, with excellent communication and writing skills.
  • Work Environment
    • Ability to work in a fast-paced office environment, with tight deadlines and a high level of attention to detail.
