Cira Homes Ltd is seeking a highly skilled Administrative Director for Office Operations to lead our office team.

About the Role

This is a permanent, full-time position requiring 35 hours of work per week. The ideal candidate will possess excellent leadership skills, ability to work independently and as part of a team, and strong organizational abilities.

The salary for this role is estimated at $60,000 per year, based on industry standards in similar positions.

Responsibilities
  • Implement new administrative procedures to improve office efficiency and productivity.
  • Review and evaluate existing procedures to identify areas for improvement.
  • Delegate tasks to office support staff and ensure that they have the necessary tools and resources to complete their work effectively.
  • Establish clear priorities and deadlines, and monitor progress to ensure that tasks are completed on time.
  • Carry out administrative activities of the establishment, including maintaining records, preparing reports, and coordinating office services.
  • Administer policies and procedures related to access to information and privacy legislation.
  • Coordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services.
  • Assist in preparing the operating budget and maintain inventory and budgetary controls.
  • Assemble data and prepare periodic and special reports, manuals, and correspondence.
  • Perform data entry and other administrative tasks as required.
  • Train and develop staff to ensure that they have the necessary skills and knowledge to perform their duties effectively.
  • Oversee and coordinate office administrative procedures, ensuring that they are efficient and effective.
  • Resolve conflict situations and provide guidance to staff members.
  • Commission systems and components to ensure that they are functioning properly.
  • Coach and mentor staff members to help them improve their performance.
  • Monitor and evaluate the effectiveness of administrative procedures and make recommendations for improvements.
  • Oversee payroll administration and ensure that it is accurate and up-to-date.
  • Plan and control budget and expenditures to ensure that they are aligned with the company's goals and objectives.
Requirements
  • Bachelor's degree in business administration or a related field.
  • At least 7 months of experience in an administrative role.
  • Excellent leadership and communication skills.
  • Ability to work independently and as part of a team.
  • Strong organizational and time management skills.
  • Ability to multitask and prioritize tasks effectively.
  • Basic security clearance.
