We are seeking an experienced Executive Coordinator to join our team at Alpha Trans Ltd.

The ideal candidate will have a proven track record of providing exceptional administrative support, coordinating events and travel arrangements, and maintaining accurate records. This is a great opportunity for a detail-oriented individual who can work independently and as part of a team.

Job Summary

This role involves providing high-level administrative support to ensure the smooth operation of our organization. The successful candidate will be responsible for:

  • Coordinating seminars, conferences, and other events;
  • Supervising and training junior staff members;
  • Preparing meeting minutes and reports;
  • Determining and establishing office procedures and routines;
  • Scheduling appointments and managing calendars;
  • Answering telephone calls and electronic enquiries;
  • Compiling data and statistics;
  • Ordering office supplies and maintaining inventory;
  • Arranging travel and itineraries;
  • Greeting clients and directing them to relevant contacts or service areas;
  • Setting up and maintaining manual and computerized filing systems;
  • Typing and proofreading correspondence and documents.
Requirements

To be considered for this role, you must have:

  • A secondary (high) school graduation certificate;
  • 7 months to less than 1 year of experience in a similar position;
  • Ability to work independently and as part of a team;
  • Fast-paced environment and tight deadlines;
  • Excellent oral and written communication skills;
  • Multitasking and time management skills;
  • Able to work with minimal supervision;
  • Own transportation.
