Portfolio Resource Coordinator

Job Summary:
The Portfolio Resource Coordinator will play a critical role in supporting the Client Service Manager's portfolio by coordinating resources and scheduling strategically. This position will work closely with the Client Service Manager's team to proactively address resource needs, fill open shifts, and reduce overtime through strategic initiatives. The successful candidate will also support security officers by processing online ticket submissions in an expedited and professional manner.
Key Responsibilities:
- Resource Coordination: Strategically identify open shifts and work with the Client Service group to ensure complete schedules to adhere to contractual obligations.
- Scheduling: Forward existing schedules in Paladin's scheduling software to ensure security officers are fully aware of their ongoing schedule well in advance.
- Team Collaboration: Work within a dynamic team environment with multiple operational stakeholders, including Site Supervisors, Security Officers, CSMs, Senior Management, and the Operations Centre.
- Cancellation and Opening Management: Fill cancellations and openings in the daily schedule.
- Client Service Manager Support: Coordinate with specifically identified Client Service Managers to ensure their staffing needs are met and proactively addressed.
- Contractual Obligation Knowledge: Develop ongoing knowledge of Paladin's contractual obligations for the assigned Portfolio(s), including site visits, training, and a close working relationship with the management group.
- Deployment Process: Take on a large role in Paladin's deployment process.
- Interviews and Phone Screens: Conduct interviews and phone screens with applicants.
- Billing Accuracy: Ensure billing accuracy and compliance on a weekly basis.
- TEAM Software Management: Work with Paladin's TEAM software to ensure accurate and timely scheduling, billing, and payroll.
Qualifications:
- Relationship Building: Proven ability to build and maintain strong working relationships both internally and externally.
- Leadership and Organization: Strong leadership, organization, and facilitation skills.
- Strategic Thinking: Strategic thinking and problem-solving skills.
- Communication: Excellent communication skills, both written and verbal.
- Customer Service: Strong customer service and multi-tasking skills.
- Creativity: Creative ability to foster new and innovative ways to perform and succeed.
- Time Management: Ability to meet strict deadlines and flexibility in time allocation.
- Computer Proficiency: Proficiency in computer usage, with an ability to learn Paladin's Enterprise software.
- Experience: Experience in scheduling, administration, or security supervision would be considered an asset.
- Flexibility: Be willing to work flexible hours.
