Job Summary:

The Office Services Supervisor is responsible for overseeing the day-to-day operations of the office, including facility events and supplies, security, vendor management, cafeteria management, and mail room activities. This role requires strong organizational and problem-solving skills to handle priority setting and organization.

Key Responsibilities:

  • Plan and coordinate day-to-day operations of CSA approved contractors, including security team, cafeteria vendor, office moves, meeting room bookings, and special meetings.
  • Supervise staff responsible for installing, inspecting, repairing, and maintaining building systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management.
  • Work with Facility Manager and Operations Manager(s) on cost management for all expenditures for the facilities operating budget.
  • Manage security and contractor HSSE process.
  • Track facilities service requests and ensure requests are completed within established timelines and quality standards.
  • Schedule and ensure completion of preventative maintenance activities.
  • Responsible for the day-to-day operations and staff of the Mail Room.
  • Support the implementation of Health, Safety, Security, and Environmental initiatives.
  • Train team members on policies and procedures, including safety.
  • Provide administrative and staff support services to the organization.
  • May serve as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities, and operations.
  • Conduct performance reviews with supervised staff.
  • Initiate the Purchase Requisition/Purchase Orders process using IT Systems.
  • Participate in building emergencies and provide training to key individuals.
  • Responsible for facilities purchasing credit card.
  • Calculate and provide facilities accrual information to finance.
  • Initial point of contact for work ticket system and facilities requests. Prioritize, triage, and assign work as required.
  • Participate in external and internal audits by providing necessary information and clarifications, explaining procedures, developing compliance plans, seeking approval, and acting on recommendations.
  • Investigate hazards, near misses, and incidents in HSSE System to ensure that appropriate investigations are conducted and corrective and/or preventive actions are completed.
  • Ensure that employee activities and work practices are carried out in a safe manner and without harm to the environment.
  • Facilitate and ensure meeting room requests are complete as required.
  • Coordinate workspace and environment for employees, including onboarding, exits, and moves.
  • Provide support for troubleshooting and restoration of services to the facility when outages occur.
