Key Responsibilities:- Provide support to the events team in planning and executing webinars, in-person events, and client social events.
- Coordinate client social events and entertainment opportunities, including venue sourcing and trend research.
- Support events related to firm sponsorships and conferences, including organizing firm attendance.
- Assist with day-of onsite event coordination, including social events.
- Manage the event calendar, event intake forms, and checklists, and prepare post-event reporting and ROI analysis.
- Utilize Osler event technology to create and send invitations, reminders, and track RSVPs.
- Coordinate the drafting of invitations and targeted mailing lists.
- Oversee the production of event collateral, including nametags, signage, PPT, handouts, and brochures.
- Coordinate the firm's client gifting program, including sourcing new and interesting products.
- Manage event-related email boxes to ensure timely responses.
- Relevant university degree or college diploma, plus two years of relevant work experience in event planning and coordination.
- Event coordination experience, preferably in a corporate environment, with an understanding of event planning and management principles, methods, and techniques.
- Experience with event-related technology, including Salesforce, ON24, Zoom, and HubSpot.
- Proficient with MS Office, including Word, Excel, Outlook, and PowerPoint.
- Strong customer-service orientation, ability to take ownership of projects, and multitask multiple concurrent events.
- Superior accuracy, attention to detail, creativity, time-management, and organizational skills.
- Excellent written and oral communication skills.
- Creative flair and interest in creating new client events and experiences.
- Bilingual (English/French) considered a strong asset.
