Osler, a leading business law firm, is seeking a highly organized and detail-oriented Client Events Coordinator to join our Toronto Client Development & Marketing Team. This role provides support in planning and delivering exceptional client experiences.
Key Responsibilities- Assist in planning and executing webinars, in-person events, and client social events.
- Coordinate client social events, including venue sourcing and entertainment opportunities.
- Support events related to firm sponsorships and conferences, including organizing firm attendance.
- Provide day-of onsite assistance for in-person events.
- Manage the event calendar, event intake forms, and checklists.
- Prepare post-event reporting and ROI analysis.
- Utilize Osler event technology to create and send invitations, reminders, and track RSVPs.
- Coordinate the drafting of invitations and targeted mailing lists.
- Oversee the production of event collateral, such as nametags, signage, and handouts.
- Coordinate the firm's client gifting program.
- Manage event-related email boxes.
This position requires a relevant university degree or college diploma, plus two years of relevant work experience in planning and executing events. An equivalent combination of education, training, and experience may be acceptable.
Experience in a professional services environment is an asset. The ideal candidate will have:
- Event coordination experience with an understanding of event planning and management principles.
- Experience with event-related technology, including Salesforce, ON24, Zoom, and HubSpot.
- Proficiency with MS Office, including Word, Excel, Outlook, and PowerPoint.
- Strong customer-service orientation.
- Ability to take ownership of projects and multitask multiple concurrent events.
- Superior accuracy, attention to detail, creativity, time-management, and organizational skills.
- Excellent written and oral communication skills.
- Creative flair and interest in creating new client events and experiences.
- Bilingual (English/French) considered a strong asset.
