Job Description

As a Program Assistant with Camosun College's Indigenous Education and Community Connections department, you will provide operational and administrative support to our Indigenous community-based programs. Working closely with the Chair and program leaders, faculty, and community partners, you will perform program-wide and program-specific tasks, as well as special projects to support IECC and IECC students.

Key Responsibilities
  • Respond to IECC student queries for clarification and direction related to information available in the college calendar, course timetables, and other publications.
  • Coordinate the development, revision, and proofreading of calendar-related and other marketing materials for IECC.
  • Assist chairs, program leaders, and other personnel in the marketing and implementation of current and new programs.
  • Coordinate and disseminate a variety of information, such as current and accurate program and course information, promotional materials, course packages, technological supports, and materials.
  • Coordinate classroom allocations and technical supports, which involves liaison with Data Management and may include connecting with IECC community partners.
  • Ensure the dissemination of relevant information to appropriate college personnel and the IECC community partner(s).
  • Compile data, produce statistics, and generate reports regarding student enrollment, enrollment projections, and distance learning courses.
  • Assist in the orientation of new faculty and staff for IECC.
  • Liaise and problem-solve with Indigenous Advisors, other college student service departments, and community support personnel.
  • Act as liaison within the particular program, IECC, other college departments, and Indigenous community partner(s).
  • Facilitate and document the collection of information necessary for the provision of special financial supports for students of the particular program.
  • Assist chairs, program leaders with the awards selection process.
  • Assist in the data collection for faculty evaluations.
  • Facilitate, organize, and support special events such as graduation/awards ceremonies, program orientations, information sessions, education fairs, and cross-school events, as well as other large, multitask projects.
  • Participate on appropriate college, departmental, or community committees/meetings as requested.
  • Perform a variety of clerical duties as required.
Qualifications
  • An appropriate diploma and four years of relevant experience, two of which include working with Indigenous communities and people, and two years of which are relevant experience in a technical or post-secondary environment or an equivalent combination of education and experience.
  • Knowledge of local Indigenous communities and organizations, including experience working within an Indigenous/non-Indigenous partnership, as relates to adult education.
  • Knowledge of and demonstrated sensitivity to the cultural and learning needs of Indigenous students, of applicable resources, as well as the diverse complexities involved in Indigenous cultural practices and protocols.
  • Proven communication and interpersonal skills with a demonstrated ability to relate well and work effectively with Indigenous students, faculty, and Elders, as well as the general public and the wider college community.
  • Ability to build reciprocal relationships with Indigenous communities with an understanding of the community partner's worldviews.
  • Demonstrated exceptional administrative support skills, including the ability to work independently, deal effectively with non-routine matters and confidentiality, coordinate various activities or events, take responsibility, display initiative, problem-solve, and make independent decisions.
  • Ability to prioritize and work well under pressure, meet deadlines while recognizing changing priorities.
  • Advanced knowledge of MS Office suite, college integrated database system (Colleague), and other college web-based applications, and basic-level technical troubleshooting in online learning platforms, in a networked computer environment.
