Pharmacy Operations Coordinator

Vitacare Guardian is seeking a detail-oriented and organized Administrative Assistant to join our team. As a key member of our pharmacy operations, you will be responsible for scheduling appointments, answering phone and electronic enquiries, ordering office supplies, and providing exceptional customer service.
Key Responsibilities:
- Schedule and confirm appointments to ensure seamless patient experience.
- Answer telephone calls and relay messages promptly and efficiently.
- Respond to electronic enquiries in a timely manner.
- Order office supplies and maintain inventory levels to support daily operations.
- Welcome patients and direct them to relevant contacts or service areas.
- Compose and proofread correspondence, forms, and other documents with attention to detail.
- Promptly respond to customer inquiries and resolve issues to their satisfaction.
- Manage and maintain digital databases to ensure accurate information.
- Coordinate and oversee daily operations, making adjustments as needed to ensure smooth workflow.
Computer and Technology Knowledge:
- Proficient in MS Excel for data analysis and management.
- Skilled in MS Outlook for email management and communication.
- Experienced in MS Windows for system navigation and troubleshooting.
- Adept in MS Word for document creation and editing.
- Familiarity with MS Office suite for productivity and efficiency.
- Knowledge of Adobe Acrobat Reader for document management.

- Ability to work independently with minimal supervision.
- Comfortable in a fast-paced environment with multiple tasks and deadlines.
