Job Title: Administrative Officer

We are seeking an experienced Administrative Officer to join our team at Novel Nine Financial Advisors Ltd. As an Administrative Officer, you will be responsible for providing administrative support to our team, ensuring the smooth operation of our office, and providing excellent customer service to our clients.

Key Responsibilities:
  • Administrative Support: Provide administrative support to our team, including answering phones, responding to emails, and preparing documents.
  • Office Management: Ensure the smooth operation of our office, including maintaining accurate records, managing supplies, and coordinating travel arrangements.
  • Customer Service: Provide excellent customer service to our clients, including responding to inquiries, resolving issues, and providing information.
  • Task Management: Prioritize and manage tasks, including implementing new administrative procedures, reviewing and evaluating existing procedures, and establishing work priorities.
  • Reporting: Assemble data and prepare periodic and special reports, manuals, and correspondence.
  • Accessibility: Provide physical, visual, and auditory accessibility accommodations to support employees with disabilities.
Support for Diversity and Inclusion:
  • Accessibility: Participate in government or community programs that support persons with disabilities, provide awareness training to employees, and apply accessible and inclusive recruitment policies.
  • Newcomers and Refugees: Participate in government or community programs that support newcomers and refugees, assist with immediate settlement needs, and support social and labour market integration.
  • Youth Employment: Participate in government or community programs that support youth employment, offer on-the-job training, and provide awareness training to employees.
  • Veterans: Participate in government or community programs that support Veterans, offer mentorship and coaching, and provide awareness training to employees.
  • Indigenous People: Participate in government or community programs that support Indigenous people, offer mentorship and coaching, and provide cultural competency training to employees.
  • Mature Workers: Participate in government or community programs that support mature workers, apply hiring policies that discourage age discrimination, and provide phased retirement options.
  • Visible Minorities: Participate in government or community programs that support visible minorities, apply hiring policies that discourage discrimination, and provide diversity and cross-cultural training to employees.
