Quinte Mall Opportunity
$45,000 - $55,000 per annum
Job SummaryWe are seeking a skilled Property Coordinator to provide administrative support and assistance to internal and external customers at Quinte Mall.
Key Responsibilities- Accruals and Record-Keeping: Prepare monthly, quarterly, and annual accruals, ensuring accuracy and timeliness.
- Yardi Administration: Perform tasks such as scanning and attaching payables, collecting and inputting sales figures, and verifying tenant insurance in Yardi.
- Data Entry and Verification: Enter, update, and verify various database information and electronic records with precision.
- Tenant Rent Management: Collect, process, and deposit tenant rent cheques in a timely manner.
- Accounts Payable and Receivable: Process daily deposits, prepare cheques for deposit, collect and input monthly sales reports, and ensure timely and accurate processing of Accounts Payable invoices.
- Office Supplies and Services: Monitor office supplies and place orders when needed, while maintaining high standards of customer service.
- Reception Duties: Provide reception services as required, receiving, dating stamping, and prioritizing incoming mail, and arranging for outgoing mail and courier deliveries.
- Storage Lease Documentation: Create and process storage lease documentation for tenant and landlord execution.
- Payroll Reporting: Collect department hours from supervisors for Payroll reporting.
- Community Events: Support the Centre's Community Events program.
To succeed in this role, you will need:
- Secondary Education: A Secondary School Diploma is required, with a Certificate or Diploma in Business/Office Administration being preferred.
- Administrative Experience: A minimum of 1-2 years' experience in Office Administration is essential.
- Real Estate or Property Management: Experience in Real Estate or Property Management is an asset.
- ERP Software Knowledge: A working knowledge of ERP software, preferably Yardi, is required.
- Microsoft Office Skills: Advanced knowledge of Microsoft Word, Excel, and PowerPoint is necessary.
- Customer Service: Excellent customer service skills are essential.
- Communication: Excellent verbal and written communication skills are required.
- Initiative and Teamwork: The ability to take initiative, work well in a team environment, and develop effective working relationships is crucial.
- Organizational Skills: Detail-oriented with excellent organizational skills is necessary to prioritize tasks effectively in a changing environment.
