Financial Services Coordinator

Job Summary:
We are seeking a highly organized and detail-oriented Financial Services Coordinator to join our team at BMO. In this role, you will provide exceptional client service, support Advisory Teams with day-to-day administration, and process transactions efficiently.
Key Responsibilities:
- Coordinate marketing activities, including website and social media initiatives, to promote client recognition and events.
- Schedule and prepare client portfolio reviews, including setting up client calls and providing updates to Investment Advisors.
- Follow up on client inquiries, account maintenance, and new account set-ups, ensuring timely and effective resolution.
- Resolve client complaints in a timely and effective manner, escalating as required.
- Accept and execute client-initiated trades, providing stock information as requested.
- Handle clients' general day-to-day requests and inquiries, including basic money movement and technology issues.
- Generate reports and documents for IAs and clients, processing items for client accounts and files.
- Maintain and organize client database and client files, monitoring incoming and outgoing assets.
- Administer and process documentation related to client files and regulatory requirements.
- Monitor redocumentation of client accounts on regular cycles to ensure up-to-date client information and documentation.
- Assist in ensuring transactions and tasks are appropriately assigned to team members and completed where required.
- Provide team members with support on technology issues, use of new technology, and general inquiries and escalations related to policies and procedures.
- Gather and distribute information on updates to training, guidelines, technology, and other business-related information.
- Develop rapport and instill confidence with clients to promote a positive client experience.
- Follow through on risk and compliance processes and policies to ensure the safeguarding of customers' assets, maintenance of their privacy, and acting in their best interests.
- Comply with all regulatory, legal, and ethical requirements as outlined in the Firm's policies and training modules.
- Maintain the confidentiality of client and Bank information.
- Complete complex and diverse tasks within given rules and limits, including handling escalations from other employees.
- Analyze issues and determine next steps.
Qualifications:
- Typically between 3 – 5 years of relevant experience and/or certification in a related field of study or an equivalent combination of education and experience.
- Knowledge of investment process and procedures.
- Knowledge of investment products and services is preferred.
- Knowledge of compliance practices and regulations.
- Knowledge of Financial/Retirement planning.
- Successful completion of the Canadian Securities Course & Conduct and Practices Handbook will be a requirement of the position.
- Current Investment Representative registration or requirement to fulfill registration requirements to become an Investment Representative (IR).
- Excellent verbal and written communication skills.
- Strong organization skills required.
- Ability to collaborate and work well in a team environment.
- Strong analytical and problem-solving skills.
Salary: $32,700.00 - $48,600.00
Pay Type: Salaried & Commission
The above represents BMO Financial Group's pay range and type.
Salaries will vary based on factors such as location, skills, experience, education, and qualifications for the role, and may include a commission structure. Salaries for part-time roles will be pro-rated based on the number of hours regularly worked. For commission roles, the salary listed above represents BMO Financial Group's expected target for the first year in this position.
BMO Financial Group's total compensation package will vary based on the pay type of the position and may include performance-based incentives, discretionary bonuses, as well as other perks and rewards.
