About the Role

We are seeking an experienced Administrative Assistant to join our team at Eagle Truck Sales & Leasing Corp. As an Administrative Assistant, you will play a key role in supporting our organization's commitment to diversity, equity, and inclusion.

Key Responsibilities
  • Administrative Support
    • Evaluate daily operations and implement process improvements to increase efficiency.
    • Open and distribute mail and other materials, ensuring timely and secure delivery.
    • Plan and organize daily operations, prioritizing tasks and managing multiple projects simultaneously.
    • Train staff on new procedures and policies, ensuring a high level of understanding and compliance.
    • Record and prepare minutes of meetings, seminars, and conferences, maintaining accurate and detailed records.
    • Schedule and confirm appointments, ensuring seamless communication with clients and stakeholders.
    • Answer telephone and relay telephone calls and messages, providing exceptional customer service.
    • Answer electronic enquiries, responding promptly and professionally to all correspondence.
    • Compile data, statistics, and other information, analyzing trends and identifying areas for improvement.
    • Order office supplies and maintain inventory, ensuring a well-stocked and organized workspace.
    • Greet people and direct them to contacts or service areas, providing a warm and welcoming experience.
    • Perform data entry, maintaining accurate and up-to-date records.
    Support for Newcomers and Refugees
    • Participate in a government or community program or initiative that supports newcomers and/or refugees.
    • Assist with immediate settlement needs of newcomers and/or refugees, including housing, transportation, storage, childcare, and winter clothing.
    • Support social and labour market integration of newcomers and/or refugees, facilitating access to community resources, language training, and skills training.
    • Recruit newcomers and/or refugees who were displaced by a conflict or a natural disaster, such as Ukraine or Afghanistan.
    • Support newcomers and/or refugees with foreign credential recognition, ensuring a smooth transition to the Canadian workforce.
    • Offer mentorship programs that pair newcomers and/or refugees with experienced employees, promoting cultural understanding and exchange.
    • Provide diversity and cross-cultural training to create a welcoming work environment for newcomers and/or refugees.
    Support for Youth Employment
    • Participate in a government or community program or initiative that supports youth employment.
    • Offer on-the-job training tailored to youth, providing hands-on experience and skills development.
    • Offer mentorship, coaching, and/or networking opportunities for youth, promoting career advancement and personal growth.
    • Provide awareness training to employees to create a welcoming work environment for youth.
    Support for Veterans
    • Participate in a government or community program or initiative that supports Veterans.
    • Offer mentorship, coaching, and/or networking opportunities for Veterans, promoting career transition and personal growth.
    • Provide awareness training to employees to create a welcoming work environment for Veterans.
    • Recruit Veterans and other candidates with military experience through targeted hiring initiatives, such as job fairs and outreach programs.
    • Assist with immediate transition needs of Veterans, including relocation and housing.
    • Offer workshops, counselling services, or other resources to help Veterans navigate their transition into the civilian workforce.
    • Support Veterans in translating their military skills and experience into the language of the civilian job market.
    • Offer flexible onboarding options to allow Veterans to gradually adapt to the civilian workplace.
    Support for Indigenous People
    • Participate in a government or community program or initiative that supports Indigenous people.
    • Offer mentorship, coaching, and/or networking opportunities for Indigenous workers, promoting cultural understanding and exchange.
    • Develop and maintain relationships with Indigenous communities, Indigenous-owned businesses, and organizations.
    • Provide cultural competency training and/or awareness training to all employees to create a welcoming work environment for Indigenous workers.
    • Facilitate access to Elders who can offer support and guidance to Indigenous workers.
    Support for Visible Minorities
    • Participate in a government or community program or initiative that supports members of visible minorities.
    • Apply hiring policies that discourage discrimination against members of visible minorities, such as anonymizing the hiring process.
    • Offer mentorship programs that pair members of visible minorities with experienced employees, promoting career advancement and personal growth.
    • Provide diversity and cross-cultural training to create a welcoming work environment for members of visible minorities.
