Project Management Assistant

Overview:
Under the guidance of the National Manager of Project Management, the Project Management Assistant will play a crucial role in supporting both the Project Management and Sales Teams. This position involves overseeing the reservation and shipment of project materials while ensuring effective communication with customers and project support teams. The candidate will also be responsible for maintaining organized schedules for material deliveries through consistent follow-ups to guarantee timely arrivals.
Primary Duties:
Structure projects in alignment with directives from Project Managers and/or Account Managers, while ensuring a streamlined workflow for product dating, reservations, backorders, and releases. Provide regular updates and reports to Project Managers and/or Account Managers regarding the status of ongoing projects. Collaborate with Project Administrators to manage project invoicing and billing processes until completion. Facilitate the coordination of Return Merchandise Authorizations (RMAs) as necessary. Oversee the shipping of materials and transfers, ensuring that products are delivered promptly according to project specifications. Liaise with various departments and branches to secure inventory or manage order holds. Keep customers informed with shipping details and tracking information. Perform additional administrative tasks as required.Qualifications and Skills:
Completion of a College Diploma or equivalent qualification. A background in manufacturing electronics is advantageous. 1 to 3 years of experience in project coordination is preferred. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Excellent organizational and analytical skills, with strong verbal and written communication capabilities. Experience with Microsoft Dynamics AX software is beneficial. Detail-oriented with effective problem-solving abilities. Proactive in managing multiple tasks in a dynamic environment. Ability to work independently as well as collaboratively within a team. Strong interpersonal skills are essential.What We Offer:
