Service Department Coordinator

We are seeking a highly skilled and organized Service Department Coordinator to join our team at The 401 Group of Companies. As a key member of our service department, you will be responsible for providing exceptional customer service, handling warranty claims, and supporting our service staff.
Key Responsibilities:- Assist customers in peak times, providing backup support to our service advisors and parts counter staff.
- Maintain excellent relationships with our new and used car departments, quoting repairs, scheduling work, and meeting reconditioning deadlines.
- Enter and manage warranty claims through our manufacturer portal and correctly invoice paid claims in our DMS.
- Facilitate the sales-to-service customer handoff, explaining service menus and maintenance requirements, and booking first appointments.
- Follow up on pre-booked appointments and missed service appointments to ensure a responsive customer experience.
- Assist with incoming customer inquiries by phone, email, or in-person, providing a high level of customer satisfaction.
- Maintain the customer facility condition and materials, ensuring a positive customer experience.
- After service contact and follow up, ensuring peak customer satisfaction and manufacturer experience standards.
- Handle initial contact for after-service inquiries, issues, and complaints, engaging with our Service Manager for handling.
- Ensure compliance with all manufacturer service and warranty standards, including paperwork, technician documentation, and filing systems.
- Valid G driver's license.
- Clean driver's abstract.
- Ability to work rotating Saturdays.
- PBS experience is a definite asset.
- Previous Service advisor experience with a proven track record is considered an asset, but we will train the right person for the role.
- A very positive person with excellent computer skills and the ability to multi-task in a fast-paced environment.
