Administrative Coordinator

About the Role
At Colliers Project Leaders, we're seeking an experienced Administrative Assistant to join our Professional Practice team. This role can be based in anywhere across Canada.
Key Responsibilities
- Provide administrative support to the Vice Presidents and Professional Practice team members.
- Offer exceptional client service and handle confidential information with discretion.
- Develop and maintain professional relationships with team members and other administrative staff.
- Prepare, assemble, and format documents, proposals, reports, schedules, contracts, and other materials.
- Draft templates for use by practitioners across the company.
- Manage Professional Practice documents in accordance with our Quality Management System standards.
- Assist in the management of our learning management system (D2L Brightspace) and client performance survey system.
- Act as a liaison to corporate accounting and address requests for information and reporting.
- Ensure timely submission of timesheets and invoices.
- Work collaboratively with other business units and corporate teams on various projects.
- Coordinate special assignments for the VPs, including research, documentation, and reporting.
- Keep the VPs informed of upcoming commitments and task-based responsibilities.
- Coordinate travel arrangements, meetings, and other events.
- Manage corporate professional memberships and libraries of electronic reference material.
- Attend business unit management meetings and take accurate minutes.
Requirements
- A minimum of 5 years' experience in a senior administrative role.
- Diploma or degree (or an equivalent combination of education and experience).
- Professional, organized, and resourceful with excellent time management skills.
- Strong oral and written communication skills, with the ability to draft letters and proposals.
- General accounting experience with proven accuracy.
- High level of proficiency in Microsoft Suite (Outlook, Word, Excel, PowerPoint).
- Precise and accurate, with attention to detail.
- Developed analytical, decision-making, and problem-solving skills.
- Experience working in an ISO 9001:2015 or ISO 45001:2018 certified company is an asset.
- Experience administering a learning management system like Brightspace is an asset.
