Job Title: Proposal Coordinator

About the Role: Pinchin is seeking a highly organized and detail-oriented Proposal Coordinator to support the proposal process, working closely with the Proposal team and other stakeholders to ensure timely and high-quality submissions.

Key Responsibilities:

  • Support the Tenders Program, including opportunity identification and distribution, to ensure alignment with client needs.
  • Participate in regular workload management meetings to discuss project progress and identify areas for improvement.
  • Analyze proposal opportunities and plan responses to ensure effective proposal development.
  • Coordinate proposal pursuit and kick-off meetings to ensure smooth project execution.
  • Act as a champion for the proposal process, assisting with discussions identifying strategy, approach, teaming, and win themes.
  • Create draft proposal framework documents aligned with client requirements, ensuring clarity and concision.
  • Support the Project Manager in the development and preparation of proposal submissions, ensuring timely and high-quality delivery.
  • Customize non-technical content to ensure client focus and alignment with client needs, utilizing strong writing and proofreading skills.
  • Coordinate writing, review, and completion of the document with the Proposal Owner and other staff, ensuring seamless collaboration.
  • Support or oversee proposal finalization, assembly, and submission, ensuring accuracy and attention to detail.
  • Coordinate debrief sessions and distribute feedback to identify areas for improvement and enhance future proposal development.
  • Participate in the continual improvement of the proposal process, contributing to identified initiatives and best practices.
  • Liaise with internal and external clients as needed, ensuring effective communication and collaboration.

Requirements:

  • Degree or Diploma in Business, Technical Writing, Marketing, or Communications, with a strong foundation in proposal development and management.
  • 1+ years preparing technical documents in a B2B environment, with a proven track record of success.
  • Strong organizational and time management skills, with the ability to work on multiple projects with competing deadlines.
  • Ability to communicate and work with various levels in an organization, ensuring effective collaboration and stakeholder engagement.
  • Strong knowledge of Microsoft Office, with proficiency in proposal development and management tools.
  • Experience in graphic design would be considered an asset, with the ability to create visually appealing and effective proposal materials.
