Position Overview:

As an integral member of the Portfolio Operations team, the Philanthropy Operations Manager is tasked with overseeing all stewardship initiatives associated with the university's philanthropic endeavors, including donor and volunteer engagement. This role entails providing strategic guidance and management of stewardship plans to create meaningful and impactful experiences for the university's donors and volunteers, thereby promoting ongoing philanthropic support for the institution. The Manager will also lead the development and utilization of the university's Stewardship Management software (BBSM – Blackbaud Stewardship Management system) and ensure effective tracking of stewardship-related activities within the External Relations & Development CRM (Raiser's Edge).

The Manager is responsible for drafting and delivering new donor funding agreements in collaboration with donors, university administrators, relevant staff, faculty, and the Director. Additionally, the Manager will guide and resolve fund disbursement activities to ensure compliance with donor agreements.

Key Responsibilities:

Stewardship & Recognition:

  • Propose innovative solutions and continuous improvement strategies to enhance the donor stewardship experience. Develop and implement recognition strategies for major gift donors, campaign volunteers, and other contributors.
  • Manage and update plans for naming recognition opportunities and their valuation within the university.
  • Oversee the management of donor walls and other recognition forms, coordinating with internal teams and external vendors for design and installation.
  • Collaborate with university leadership and relevant stakeholders to schedule stewardship and recognition events, including National Philanthropy Day and major gift announcements.
  • Maintain comprehensive tracking of acknowledgments, recognition efforts, and ongoing communications with past, current, and prospective donors to strengthen their relationship with the university.
  • Work closely with the Portfolio Operations team to ensure personalized gift acknowledgment and appreciation correspondence.
  • Draft correspondence and coordinate special recognition initiatives as necessary.
  • Support development officers with proposals and stewardship strategies for donors and top prospects.
  • Ensure meticulous record-keeping of all stewardship and recognition activities, ensuring all correspondence and documentation is properly filed and key information is logged in the database.
  • Oversee various donor and volunteer appreciation events, including National Philanthropy Day and Volunteer Week.
  • Manage the installation and celebration of philanthropic gifts, such as sculptures and artwork, in collaboration with other university entities.

Fund Management & Gift Agreements:

  • Serve as the lead manager of the institution's Stewardship Management system (BBSM), focusing on procedure development, public branding, and effective communication.
  • Draft complex fund and gift agreements for senior approval, working closely with donors and university staff.
  • Ensure compliance with donor intent by monitoring and reporting on fund status and progress.
  • Provide direction for the creation of new funds and manage the necessary information.

Reporting, Monitoring, & Analytics:

  • Collaborate with the Portfolio Operations team to develop robust tracking and reporting systems for stewardship and recognition phases of the donor lifecycle.
  • Manage ongoing stewardship reporting projects, including personalized communications for top donors regarding endowed funds and significant gifts.
  • Propose continuous digital and procedural enhancements to improve processes and outreach.
  • Oversee the stewardship budget and project-specific budgets, ensuring compliance with financial constraints.
  • Regularly review and update gift agreements, working with departments to ensure proper utilization of funds.
  • Collaborate with team members to develop analytical tracking that aligns with the Director's objectives.

Additional Responsibilities:

  • Co-chair the university's Philanthropic Fund Administration Committee, ensuring engagement in the ongoing development of philanthropic fund administration.
  • Provide stewardship guidance for financial allocation processes.
  • Assist with special projects as directed by the Director of Portfolio Operations & Digital Philanthropy.

Qualifications:

Honours University Degree (4 year) or equivalent.

Experience/Qualifications Required:

  • Minimum five (5) years of experience in program management within development, donor relations, or related fields.
  • At least one (1) year of experience in developing donor fund or gift agreements.
  • Proven experience in coordinating the use of systems or software applications.
  • Demonstrated ability to develop and support a complex philanthropic stewardship program.
  • Strong interpersonal skills and the ability to engage effectively with donors and various stakeholders.
  • Appreciation for the role of philanthropy in the university's success and the contributions of individuals.
  • Strong problem-solving skills and sound judgment in sensitive situations.
  • Proven ability to manage multi-phase projects from start to finish.
  • Excellent organizational, communication, and interpersonal skills.
  • Experience handling confidential matters with discretion.
  • Ability to work independently and collaboratively as part of a team.
  • Detail-oriented and goal-focused, with a proactive approach.
  • Proficiency in MS Office (Word, Excel), Raiser's Edge or equivalent CRM systems.
  • Willingness to work occasional evenings and weekends as needed.
