About the Role

Flying Parcel Services Inc. is seeking a highly organized and detail-oriented Administrative Coordinator to join our team. As an Administrative Coordinator, you will play a vital role in ensuring the smooth operation of our office.

Key Responsibilities
  • Event Planning: Coordinate and arrange seminars, conferences, and other events, ensuring all logistical details are taken care of.
  • Minute Taking: Record and prepare minutes of meetings, seminars, and conferences, maintaining accurate and detailed records.
  • Scheduling: Schedule and confirm appointments, ensuring timely and efficient communication with clients and colleagues.
  • Communication: Answer telephone calls, relay messages, and respond to electronic inquiries in a professional and courteous manner.
  • Office Management: Order office supplies, maintain inventory, and ensure the office is well-stocked and organized.
  • Travel Arrangements: Arrange travel, itineraries, and make reservations as needed.
  • Reception: Greet visitors, direct them to contacts or service areas, and provide general assistance as required.
  • Document Management: Set up and maintain manual and computerized information filing systems, ensuring accurate and up-to-date records.
  • Correspondence: Type and proofread correspondence, forms, and other documents, ensuring high-quality and error-free output.
  • Data Entry: Perform data entry tasks, maintaining accurate and up-to-date records.
  • Record Keeping: Maintain work records and logs, ensuring compliance with company policies and procedures.
Computer and Technology Skills
  • Proficient in MS Excel, MS Outlook, MS PowerPoint, MS Windows, and MS Word.
  • Familiarity with MS Office and Adobe Acrobat Reader.
Work Environment and Physical Demands
  • Ability to work independently in a fast-paced environment.
  • Attention to detail and ability to perform repetitive tasks.
  • Ability to work with minimal supervision.
