General Overview:
This role is pivotal in enhancing the McMaster University brand through strategic marketing of promotional merchandise. The position ensures that all promotional items comply with University standards while delivering competitive pricing, superior product quality, and exceptional customer service. The specialist will manage the order fulfillment process through the Campus Store platform.

Key Responsibilities:

  • Prepare quotes based on departmental pricing structures and negotiated costs.
  • Build relationships within the community to boost store sales and identify new sales avenues across campus.
  • Market bulk orders to the University community and external clients in collaboration with marketing teams.
  • Initiate and manage purchase orders and reorders within the inventory system, ensuring compliance with University purchasing policies and maintaining optimal inventory levels.
  • Secure necessary approvals for purchase orders exceeding authorization limits.
  • Communicate with suppliers to place orders, manage artwork approvals, and ensure timely delivery.
  • Negotiate pricing, terms, and conditions with vendors to achieve favorable outcomes.
  • Oversee the selection of merchandise, including vendor and product choices.
  • Manage pricing adjustments on purchased items.
  • Coordinate promotional displays and sales events both on and off campus.
  • Recommend improvements to enhance accuracy, reduce order turnaround times, and elevate customer satisfaction.
  • Contribute to departmental business plans by providing insights into sales forecasting and budgeting.
  • Supervise the order fulfillment process, including order entry, administration, and shipping logistics.
  • Develop templates and forms to streamline online order processing.
  • Collaborate with buyers to address online product inquiries.
  • Resolve fulfillment challenges and expedite order processing through interdepartmental collaboration.
  • Suggest enhancements to website functionality and backend order processing systems.
  • Review and propose updates to website procedures and training documentation.
  • Delegate tasks to staff and analyze merchandise margins and inventory status.
  • Ensure timely product delivery, accurate pricing, and data integrity for purchased and resold items.
  • Create and maintain documentation such as correspondence, procedural guides, and training materials.
  • Clarify procedures to customers and work with colleagues to develop promotional content.
  • Monitor inventory levels and transfers throughout the sales cycle.
  • Achieve or surpass sales targets while upholding store policies.
  • Perform calculations related to taxes, rebates, quotes, and discounts.
  • Ensure promotional product credits and adjustments are processed correctly.
  • Investigate new product offerings to align with market trends.
  • Attend industry events and trade shows as necessary to gather insights.
  • Ensure compliance with departmental policies during store operations.
  • Conduct physical inventory counts to verify stock levels against reports.
  • Prepare merchandise for inventory and execute inventory-related tasks as needed.

Supervision:

  • Provide ongoing guidance and support to team members.
  • Responsible for overseeing one employee.

Qualifications:

  • 2 year Community College diploma in a relevant field.
  • Requires 3 years of experience in the Promotional Products sector.
