Position Overview:
The successful candidate will be responsible for providing comprehensive administrative assistance to the management team, ensuring efficient office operations and effective communication across various departments.
Qualifications:
- Desirable educational background of at least Grade 12 or equivalent.
- Formal training in administrative or related fields is advantageous.
- Proficient clerical and typing skills with a strong foundation in office management.
- A minimum of three (3) years of experience in an administrative role.
- Basic knowledge of bookkeeping practices.
- Strong command of spoken and written English, with the ability to communicate effectively at all levels.
- Fluency in both Tok Pisin and Ipili is essential.
- Ability to work independently and manage pressure effectively.
- Proficient in computer applications, including integrated management systems and MS Office Suite.
- Understanding of CMMS fundamentals (e.g., Oracle systems) and data management processes.
- Exceptional organizational and time-management abilities.
- Capability to maintain confidentiality of sensitive information.
- Demonstrated maturity and professionalism in the workplace.
- Strong analytical and reporting skills with a keen attention to detail.
Key Responsibilities:
- Provide administrative support, including managing calendars, scheduling appointments, and coordinating meetings.
- Handle incoming communications, directing inquiries to the appropriate personnel.
- Assist in preparing and distributing various documents, reports, and correspondence.
- Maintain and update company records and filing systems to ensure accessibility and accuracy.
- Support inventory management and procurement of office supplies.
- Coordinate travel arrangements for staff as necessary.
- Assist with special projects and initiatives as required.
- Act as a liaison for inquiries related to Asset Protection Department services, ensuring excellent customer service.
- Prepare and review documents and presentations with meticulous attention to detail.
- Contribute to operational tasks that support the Asset Protection Department's objectives.
- Uphold health, safety, and environmental standards in compliance with company policies.
Mobilization Requirements:
- Current police clearance certificate obtained within the last six months is mandatory.
- Successful completion of a pre-employment medical examination and drug and alcohol screening is required.
- Local candidates are preferred and must be available to commence work immediately.
- The work schedule consists of 20 days on duty followed by 8 days off.
