Travel Advisor Assistant

Twil Travel is a boutique travel consultancy specializing in high-end leisure travel. We are seeking a highly organized, detail-oriented, and tech-savvy individual to provide comprehensive support to our agency owner. As a Travel Advisor Assistant, you will be responsible for managing our portfolio of discerning luxury travelers, providing exceptional executive assistance, and ensuring the creation of unforgettable travel experiences.

Key Responsibilities
  • Act as a reliable point of contact for clients, colleagues, and external stakeholders.
  • Oversee the full travel planning cycle, including tracking proposals, following up on open inquiries, and finalizing trip arrangements.
  • Coordinate and secure travel arrangements, including transportation, lodging, transfers, and travel insurance.
  • Prepare and process client and vendor payments and related documentation.
  • Collect vendor confirmations and vouchers, and prepare final trip documentation.
  • Handle concierge requests, including dining, entertainment, and ground transportation.
  • Research content and logistics, and prepare client proposals based on direction provided.
  • Correspond with suppliers to coordinate bespoke travel arrangements.
  • Conduct quality control checks on all itineraries, ensuring accuracy and completeness.
  • Manage the CRM system, maintaining up-to-date client information, preferences, and travel history.
  • Stay informed about industry trends, luxury travel experiences, and destination information to provide expert advice to clients.
Requirements
  • Previous experience as a travel advisor, executive assistant, or in a similar role is highly desirable.
  • Proficiency in using Sabre or other travel booking systems is a significant advantage.
  • A natural inclination for customer service and a passion for travel.
  • Extremely organized and detail-oriented, with the ability to handle multiple projects and tasks simultaneously.
  • Proactive and resourceful, with an intuitive problem-solving approach.
  • Strong work ethic, with a willingness to take on more and streamline systems and processes where possible.
  • Positive attitude, with a passion for travel and a good understanding of luxury travel experiences.
  • TICO Certification is required (must be certified within one month of start date).
Work Environment

Office hours are Monday-Friday, 9:30am to 5:30pm. This is a hybrid home/office role, with a minimum of 1 or 2 days in the office required.
