Job Summary
As a Freight Payable Coordinator, you will play a crucial role in ensuring accurate and timely processing of freight payments. You will be responsible for reconciling intercompany transactions, preparing reports, and resolving outstanding issues. Your attention to detail and strong analytical skills will be essential in this fast-paced environment.
Key Responsibilities
- Reconcile and match intercompany transactions, collaborating with operations to ensure smooth processing.
- Prepare and distribute unbilled freight transaction reports, following up with operations to resolve discrepancies.
- Process freight payables, including matching invoices with supporting documents, verifying payment information, and obtaining approvals.
- Handle inquiries regarding invoices, payments, credits, and other related matters. Escalate complex issues to the Supervisor, Freight Payable.
- Investigate invoice discrepancies and billing errors, resolving them promptly and escalating unresolved issues as needed.
- Perform administrative tasks such as filing, answering phones, photocopying, and faxing.
Skills and Qualifications
- Excellent communication (oral and written) and interpersonal skills.
- Strong analytical and problem-solving abilities.
- Exceptional organizational skills with the ability to prioritize tasks and meet deadlines.
- Ability to handle stressful situations with diplomacy and tact.
- Advanced Excel skills, including pivot tables.
- Working knowledge of enterprise resource planning systems (CODA) is an asset.
Education and Experience
- Minimum 1 year of experience in a similar role.
- Associate's Degree or equivalent post-secondary education.
