As a Records Management Specialist, your primary responsibility is to ensure that the Enterprise Information Management program effectively adheres to legal and regulatory standards through strategic business partnerships, educational initiatives, and training development. You will support the Manager of Information Management in executing the records retention and deposition strategy across various operational sectors and Corporate Groups. Your role is crucial in collaborating with Corporate Groups and Operating Areas to formulate the records retention plan and the necessary disposition processes for effective records and information management throughout their lifecycle.

Key Responsibilities:

Spearhead the creation, approval coordination, and execution of the records retention strategy for Irving Oil. Develop and oversee the records disposition program aligned with the Irving Oil Records Retention Plan to meet operational and legal obligations. Generate insightful and relevant reporting for the lifecycle management of data, information, and records at Irving Oil. Manage the evaluation, identification, and integration of established procedures across the organization concerning the management of data, information, and records generated on behalf of Irving Oil. Provide informed decisions and recommendations to mitigate risks to Corporate and Operating Areas affected by the records retention and disposition strategy. Analyze extensive datasets within complex work processes, including the assessment and interpretation of regulations, while identifying areas for process enhancement. Collaborate with Information Management colleagues on strategic projects, ensuring the necessary support, resources, and capabilities are available. Work with stakeholders to develop and implement a comprehensive inventory of critical documents associated with the disposition program. Identify change management needs to ensure effective business processes and controls are in place to support personnel, workflows, and technology. Provide consultative services in Information Management to stakeholders for the development of the records retention and disposition strategy. Operate independently while receiving guidance in complex scenarios. May lead teams or projects of moderate complexity and offer mentorship to others in your area of expertise.

Required Skills:

Excellent communication and collaboration abilities essential for engaging with stakeholders at various levels, especially in challenging discussions. Strong analytical capabilities to assess large volumes of information within intricate work processes, including the interpretation of regulations and identifying areas for improvement. Project Management experience is beneficial and may be necessary for supporting selected initiatives. Proficient in building relationships with key stakeholders across the organization. Responsible for recognizing change management needs to ensure that adequate business processes and controls are established to support personnel, workflows, and technology. Ability to identify affected processes and make informed decisions to minimize risks to Corporate and Operating Areas influenced by process improvement initiatives. Strong analytical skills to comprehend complex processes and understand functional areas in recognizing potential impacts on other organizational sectors.

Required Experience:

A minimum of 5 years of experience in a related field. Bachelor's Degree in a discipline related to information management, business analysis, continuous improvement, information systems, or regulatory compliance. A Master's Degree in information or archival studies is considered an asset, along with Information Governance Certification. Demonstrated understanding of both theoretical and practical information management challenges. Experience in navigating and analyzing information within complex work processes, identifying opportunities for process implementation. Familiarity with interpreting legislation and policy requirements related to information management is advantageous.
