The Ministry of Children and Family Development is dedicated to enhancing the capabilities of families and communities to nurture and safeguard vulnerable children and youth, while fostering healthy child and family development to unlock the potential of every child in the region. The Ministry oversees the regional and province-wide implementation of services and programs aimed at achieving positive and healthy outcomes for children, youth, and their families.
The Administrative Support Specialist plays a crucial role in delivering daily program assistance within the social services office. This position reports to the Office Manager and receives guidance from various stakeholders, including social workers, Team Leaders, Managers, and the immediate supervisor. The role serves as the primary contact for client intake, which encompasses interactions with the general public.
This position necessitates a comprehension of the challenges encountered by clients and prospective clients of the services and programs provided, as well as an understanding of how the social services office interacts with external entities, including service providers, community organizations, and other public service agencies.
Essential Qualifications:
- Completion of Grade 12 or equivalent.
- Minimum of one year of administrative support experience in an office setting.
- At least six months of experience in a computerized environment utilizing various software applications and databases (e.g., Microsoft Office Suite including Word, Excel, Outlook, MS Teams, Zoom) for tasks such as word processing, data entry, and video conferencing; experience with case management or other database systems is also required.
- Consideration may be given for completion of an Administrative Business Skills course or program as a substitute for experience.
- Proven experience in delivering high-quality customer or client service, executing responsibilities, and addressing client needs in a professional manner.
- Ability to work independently and collaboratively within a multidisciplinary team environment, engaging with other professionals, clients, and service providers.
- Administrative experience in a human/social services context, particularly with vulnerable children and families.
- Two (2) or more years of administrative support experience in an office environment.
- One (1) or more years of experience in a computerized setting using various software applications and databases.
- Completion of relevant courses or a post-secondary program in Business, Administration, Legal, Secretarial, or Medical Office Assistance.
- Experience with MCFD applications such as Integrated Case Management (ICM) and/or Management Information Systems (MIS).
This position offers flexible work options, including the possibility of remote work, subject to an approved telework agreement. There are multiple positions available, both part-time and full-time.
