About the Role

We are seeking a highly organized and detail-oriented Office Administrative Assistant to join our team at UNITE OUTSOURCING LTD. As an Office Administrative Assistant, you will play a vital role in ensuring the smooth operation of our office.

Key Responsibilities
  • Administrative Support: Provide administrative support to our team members, including answering phone calls, responding to emails, and preparing correspondence.
  • Event Planning: Arrange and coordinate seminars, conferences, and other events, including preparing agendas, managing logistics, and ensuring timely execution.
  • Record Keeping: Maintain accurate and up-to-date records, including minutes of meetings, seminars, and conferences.
  • Office Procedures: Develop and implement office procedures and routines to ensure efficient and effective operation.
  • Scheduling: Schedule and confirm appointments, meetings, and events, ensuring timely and efficient use of resources.
  • Communication: Respond to electronic enquiries, answer phone calls, and relay messages to team members and clients.
  • Data Management: Compile data, statistics, and other information to support business decisions.
  • Supply Management: Order office supplies and maintain inventory to ensure efficient operation.
  • Customer Service: Greet clients and visitors, direct them to relevant contacts or service areas, and provide general information about our company.
  • Document Management: Set up and maintain manual and computerized information filing systems, and type and proofread correspondence, forms, and other documents.
Requirements
  • Education: Secondary (high) school graduation certificate or equivalent.
  • Experience: 7 months to less than 1 year of experience in an administrative role or equivalent experience.
  • Skills: Excellent oral and written communication skills, ability to multitask, flexibility, and attention to detail.
  • Computer Skills: Proficient in Google Docs, MS Excel, MS PowerPoint, MS Windows, MS Word, and electronic scheduler.
  • Language: English language proficiency.
Work Environment

This is a permanent full-time position, working 40 hours per week. The ideal candidate will be able to work under pressure, meet tight deadlines, and maintain a high level of accuracy and attention to detail.
