JOB SUMMARY
Human Resources Specialist – Under the guidance of the Human Resources Business Partner, executes daily human resources functions within The Institute for Performance and Learning and collaborates on pertinent organizational initiatives.
DUTIES AND RESPONSIBILITIES
HR Administration- Prepare and organize materials for meetings, training sessions, and the Human Resources team.
- Maintain employee human resources files ensuring all necessary documentation, including current professional registrations, performance evaluations, and training records are included.
- Process employee terminations and resignations in accordance with company policies and procedures.
- Draft and distribute the monthly employee newsletter.
- Ensure accurate issuance, tracking, and return of security access items.
- Collaborate with Payroll and Benefits Coordinators to address employee inquiries regarding payroll and benefits.
- Manage requests for employment verification and escalate complex situations to the HRBP or immediate supervisor.
- Regularly monitor the HR Mailbox to assign tasks and respond to inquiries efficiently.
- Engage with the Employee Advisory Committee by attending meetings, recording minutes, and developing proposals.
- Support the transition of employees in the program by monitoring progress.
- Stay informed about provincial legislation related to Employment Standards, Human Rights, Workplace Health and Safety, and Labour laws.
- Assist with co-op and student placements.
- Participate in ongoing professional development activities.
- Adhere to company policies and educate employees as necessary.
- Engage in quality assurance activities and continuous improvement initiatives.
- Maintain regular communication with management and other HR Coordinators to share best practices.
- Ensure confidentiality of client and corporate information.
- Foster a workplace culture of support, collaboration, and inclusiveness.
- Perform other duties as assigned.
- Update and modify employee information, including contact details and employment status.
- Enter employee credentials into the system.
- Generate reports to ensure all professional credentials are current.
- Prepare various reports as requested by the HRBP.
- Utilize the HRIS system daily to maintain accurate employee information.
- Coordinate with the Talent Acquisition team to facilitate the onboarding of new hires.
- Process employee terminations and related documentation as needed.
- Input information for new hires.
- Record service requirements for staff.
- Manage terminations and other internal tracking as necessary.
- Generate monthly reports on probationary periods.
- Assist managers with probationary review meetings and assessments.
- Monitor attendance of employees at risk and communicate findings through monthly reports.
- Process new hires in the HRIS.
- Request necessary technology for new employees.
- Conduct audits of employee files.
- Track all leave of absence requests.
- Provide management with monthly reports on current and upcoming leaves.
- Ensure all leave requests are supported by the required documentation.
- Review unapproved leaves under the direction of the HRBP.
- Engage in proactive Health & Safety initiatives while performing job duties.
- Report any Health & Safety risks or concerns to the immediate supervisor.
- Participate in the Health and Safety Program as directed.
QUALIFICATIONS
EducationCompletion of a recognized Human Resources certificate or diploma program.
Experience1-2 years of progressively responsible and diverse human resources experience.
Other Skills and Abilities- Strong interpersonal skills with the ability to manage challenging situations effectively.
- Ability to work independently as well as collaboratively within a team.
- Proficient in keyboarding and Windows software applications.
- Capable of operating standard office equipment.
- Willingness to travel as required.
- Possession of a valid driver's license and access to a vehicle is preferred.
- Commitment to ongoing professional development.
- Internal candidates should demonstrate a history of achievement and a willingness to pursue recommended Human Resources training.
