Job Summary
MacEwan University is seeking a detail-oriented individual to support faculty administrators and faculty members in the Faculty of Nursing. As an Administrative Assistant, you will provide general office administration, preparing documents, managing information, processing transactions, greeting stakeholders, responding to inquiries, and troubleshooting issues and concerns.
Key Responsibilities
- Prepare spreadsheets, forms, and documents to support faculty and administrative activities.
- Generate reports to track progress and provide insights.
- Process information and transactional requests in a timely and accurate manner.
- Gather and compile data from key sources for reports and proposals.
- Arrange meetings and prepare agendas, minutes, and communications.
- Create contracts, memos, and letters to facilitate business operations.
- Support and manage established and complex processes related to the operations of the unit.
- Perform reception duties and respond to inquiries from faculty, students, and external stakeholders.
- Coordinate events and manage records and electronic filing.
- Perform asset tracking and deployment.
- Process financial transactions, including expense report submissions, code verifications, requisition entries, and payment of invoices.
- Support purchasing processes and proposal completion.
Requirements
- Proficiency in Microsoft Office applications.
- Ability to learn other software applications and platforms.
- Excellent written, verbal, and non-verbal communication skills.
- Proficient organizational skills.
- Ability to work independently and within a team environment.
Qualifications
- A minimum of a diploma in Office Administration, Office Management, or a related field.
- Experience working in a post-secondary institution would be considered an asset.
- Experience working with PeopleSoft would be considered an asset.
- An equivalent combination of education and experience may be considered.
