Position Overview:
The Project Administrator plays a vital role in supporting the Project Management team with essential daily tasks while maintaining confidentiality. Responsibilities include scheduling, timekeeping, clerical duties, report generation, travel arrangements, and job documentation. The Project Administrator will address client inquiries and provide necessary information and assistance to both staff and clients in accordance with established protocols. A background in a construction site office environment and strong computer skills are essential for this role.
- Generate periodic project reports for clients as needed.
- Organize and maintain project documentation.
- Assist Project Management with the management and compilation of essential documents, such as bills of lading, vendor invoices, and time sheets.
- Coordinate travel arrangements for project personnel.
- Engage with the head office's Accounts Payable and Accounts Receivable departments.
- Support Project Management with procurement activities.
- Communicate with Owners, Engineers, and other stakeholders involved in the project.
- Design and maintain documentation for project tracking and personnel scheduling.
- Become proficient in additional administrative tasks.
- Perform clerical duties as necessary.
- A minimum of 2 years of progressive experience in a construction project-based administrative role.
- Proficient in Microsoft Word and Excel.
- Excellent communication skills, both written and verbal, along with strong organizational abilities.
- Self-motivated with the ability to work independently and supervise junior administrative staff.
- Exceptional time-management skills to handle multiple tasks and meet deadlines.
