About the Role:

Sinai Health is seeking an experienced administrative professional to provide high-level support to the Microbiologists in the Microbiology department.

About the Department of Microbiology:

The Department of Microbiology is a collaborative laboratory operation between Mount Sinai Hospital and the University Health Network (UHN), recognized locally and nationally as a leader in microbiology.

We offer state-of-the-art diagnostic services, methods development, research, and education. Our team is driven by innovation, and we continually develop new assays in response to clinical and research needs.

Key Responsibilities:

  • Ensure efficient day-to-day functions for microbiologists
  • Answer, screen, prioritize, and forward email/phone inquiries to appropriate team members
  • Maintain microbiologists' schedules, ensuring conflicts are identified and managed
  • Coordinate patient and visitor appointments, greeting and organizing their needs
  • Maintain a properly functioning dictation system for preparation of letters, documents, and reports
  • Review and manage incoming correspondence with discretion and tact
  • Schedule meetings, book space, and support meeting preparation
  • Coordinate payroll, office financial accounts, and cost centers
  • Create and maintain office filing systems
  • Assist with other duties related to the position

Requirements:

  • College diploma in a related field from an accredited institution
  • Minimum five years of experience in an administrative support role, preferably in a clinic/healthcare environment
  • Proficient in Microsoft Office: Word, Excel, Outlook, PowerPoint, etc.
  • Superior work ethic, professionalism, resourcefulness, dependability, reliability, and diplomacy
  • Maintains highest level of ethical standards and confidentiality
  • Client-focused with strong time management, organizational, and self-planning skills
  • Demonstrated ability to work collaboratively as a team member
  • Excellent problem-solving skills with the ability to prioritize competing demands
  • Proven ability to make decisions, exercise judgment, and take initiative
