Creative Arts Program Coordinator

Overview:
The Arctic Rose Foundation (ARF) is a registered Canadian charity dedicated to providing Indigenous youth in Northern communities with a safe environment to engage in arts-based and culturally relevant afterschool programs.
Our initiatives leverage expressive arts and are led by local high school students and young adults who are trained and employed by the ARF.
The Creative Arts Program Coordinator is responsible for offering daily on-site assistance to the youth Community Artist Liaison and Mentor (CALM) Workers, aiding in the organization, promotion, and execution of the Creative Arts program.
The ideal candidate will be self-driven, results-focused, and possess a strong initiative, capable of working both independently and collaboratively within a small program team of a rapidly expanding organization.
Key Responsibilities:Program Support:
- Assist CALM Workers in executing the Creative Arts program; setting up program spaces, organizing supplies, and managing registration forms and related documents.
- Conduct weekly program meetings with CALM Workers to log hours, foster team building, plan upcoming activities, and report data to the Program Manager or designate.
- Facilitate monthly in-person Guest Artist sessions, providing logistical support to artists.
- Communicate with Program Partners regarding daily operations of the program.
- Promote the program through approved school and community channels.
- Support the Program Manager or designate in planning and coordinating special events.
- Assist in the ongoing recruitment, training, and retention of youth CALM Workers.
- Collect necessary paperwork and assist with onboarding requirements for CALM Workers.
- Maintain a consistent on-site presence throughout the program duration, encouraging CALM Worker accountability and ownership.
- Ensure compliance with health and safety policies and procedures among CALM Workers and all program participants.
- Lead program registration for local Creative Arts Programs, ensuring parental consents are secured and shared with local partners.
- Distribute transportation vouchers for program participants and maintain travel logs.
- Schedule and oversee youth staff (CALM Workers).
- Ensure adherence to health and safety requirements among CALM Workers and all program participants.
- Review CALM Worker hours for payroll purposes.
- Assist the Program Manager in scheduling special coaching and mentoring opportunities.
- Assist CALM Workers in preparing requests for art supplies.
- Conduct monthly inventory of program supplies and submit to the Program Team.
- Collect snacks from local vendors, ensuring compliance with school-safe snack lists and avoiding allergens.
- Oversee the safe storage and operation of program equipment, including the CALM Worker laptop and wireless speaker.
- Manage the distribution of transportation vouchers for CALM Workers and program participants, tracking usage for submission to the Program Team.
- Incorporate cultural awareness in all aspects of staff supervision and program delivery.
- Integrate Inuit and Indigenous culture into daily program operations.
- Participate in staff meetings and training sessions as required.
- Assist with any additional administrative tasks assigned by the Program Manager.
- Adhere to all Arctic Rose Foundation policies and procedures.
- High school diploma or post-secondary certification.
- A minimum of one year of program or administrative work experience.
- At least one year of experience working with children and youth.
- Previous experience in Inuit or Indigenous communities is an asset.
- Familiarity with standard office administrative practices and procedures.
- Effective communication skills in English, both oral and written.
- Ability to communicate in Inuktitut or another Indigenous language is an asset.
- Proactive and collaborative, both in-person and virtually.
- Basic computer skills, including knowledge of Microsoft Office and virtual conferencing software.
- Strong interpersonal and communication abilities.
- Successful completion of a vulnerable sector check.
- Proof of up-to-date vaccinations.
- Position is based in Yellowknife and operates out of partner Mildred Hall space.
- Potential opportunities for travel to other remote northern communities.
- A valid driver's license and access to a vehicle is an asset.
- Availability in the afterschool space approximately 3:00 PM to 5:30 PM each weekday.
- Occasional evening and weekend work may be required.

Preference will be given to candidates of Indigenous descent if two or more equally qualified candidates are considered for this position.
