Position Overview:
The role involves supporting essential patient care with a key emphasis on the preparation and organization of medical records and documentation for the attending healthcare professionals. This position requires collaboration with a diverse team including Cardiologists, Physiotherapists, Administrative Managers, Scheduling Teams, and the Chief Operating Officer, necessitating effective management of complex operational workflows across various locations.
Qualifications and Experience:
Candidates should possess relevant experience in the medical field, ideally complemented by medical education as an International Medical Graduate. A minimum of one year of experience in a healthcare environment or an administrative capacity within a clinical setting is required. Familiarity with medical terminology specific to Cardiology and Physiotherapy is advantageous. We encourage applications from international medical graduates.
Key Responsibilities:
- Documenting and collecting information pertinent to patient visits.
- Handling incoming patient calls and inquiries with professionalism.
- Updating patient histories, physical examinations, and other relevant health data.
- Preparing and forwarding necessary documentation to physicians for review.
- Adhering to healthcare regulations, including HIPAA compliance.
- Transcribing patient appointments accurately.
- Coordinating diagnostic tests and referrals to laboratories, hospitals, and testing facilities.
- Executing various clerical tasks to enhance provider efficiency and clinic operations.
- Overseeing clinic workflows to ensure high-quality patient care.
- Assisting Cardiologists and Technicians with daily clinic operations.
- Collaborating with the office team to manage logistics across all clinics.
- Providing essential information to the Office Manager to facilitate effective communication with management.
Experience Requirements:
A minimum of one year of recent experience as a Medical Office Administrator is preferred. Experience in a healthcare or patient-care setting is highly recommended. Previous experience as a scribe is a beneficial asset.

- Outstanding patient interaction and communication skills.
- Professional telephone etiquette and email correspondence capabilities.
- Effective communication skills in English, both verbally and in writing.
- Proven organizational and interpersonal skills.
- Ability to demonstrate initiative and sound judgment in the role.
- Proficient in computer applications, including Microsoft Office.
- Quick adaptability to various medical record software and database systems.
- Strong ability to prioritize tasks efficiently and in an organized manner.
- Excellent interpersonal skills with colleagues, community partners, and patients/families.
- Capacity to multitask and prioritize effectively in a dynamic and high-pressure environment.
Job Type: Full-time, Permanent
Compensation: $17.00-$19.00 per hour
