Job Summary

We are seeking a highly organized and detail-oriented Coordinator to support our educational programs and administrative initiatives. The ideal candidate will have a strong background in event coordination, project management, and executive administration.

Key Responsibilities
  • Coordinate educational program and event support, including logistics, communications, and evaluation.
  • Support the Operations Manager with event planning, including food and beverage planning, show services, floor plans, audio visual, and presentation management system.
  • Assist with development of marketing materials and provide on-site event support.
  • Coordinate session evaluation forms and post-event reporting.
  • Participate in post-event feedback discussions and event follow-up communications.
  • Support Virtual Education Production, including scheduling and setting up Zoom meetings, large meetings, and webinars.
  • Coordinate communications with faculty, speakers, and affiliate stakeholders.
  • Participate in pre-production testing and assist with development of marketing materials.
  • Coordinate session evaluation forms and post-event reporting.
  • Participate in post-event feedback discussions and event follow-up communications.
  • Support Communications Manager with Podcast logistics and administration.
  • Provide administrative support, including updating web pages and event calendars, completing administrative tasks, and providing virtual and on-site event support.
  • Answer the main phone line and respond to email inquiries.
  • Short, basic English to French translations for communications.
Requirements
  • Bachelor's degree or professional equivalent in business administration, event management, or social sciences.
  • A minimum of 2 years of experience in event coordination, project management, executive administration, or customer service.
  • Strong communicator in all mediums, with superior interpersonal and oral/written communications skills.
  • Superior organizational and project management skills, with the ability to function constructively in a changing environment.
  • Ability to manage a high volume of details and communications, meet fixed deadlines, initiate, and follow-up actions.
  • Adaptable to flexible work schedules, including some weekend work, evening meetings, and travel.
  • Comfort with variable job priorities.
  • Proficient in the use of PC and Microsoft Office Suite Products, including Word, Excel, PowerPoint, Access, Outlook, and WordPress.
  • Experience and proficiency with scheduling and production of Zoom meetings and webinars.
  • Strong team player committed to delivering the best results, leveraging cross-functional expertise and innovation.
  • Sense of ownership and enthusiasm to accomplish organizational objectives and Mission.
