Key Responsibilities:
The successful candidate will work closely with the Asset team and Operations in a dynamic environment, responsible for:
- Generating and issuing purchase orders as required.
- Verifying the accuracy of invoices.
- Matching purchase orders with invoices, coding, and entering them into the system.
- Monitoring invoices on job costing spreadsheets.
- Administering monthly accounting functions, including accounts payable, expense reports, and equipment coding.
- Maintaining equipment records in the asset tracking system.
- Reviewing monthly asset reports and addressing inventory discrepancies.
- Updating asset rate sheets and project-specific rates.
- Managing the company vehicle spreadsheet, including tracking maintenance and repairs.
- Reviewing GPS monitoring data and providing driving reports.
- Overseeing the administration of company vehicle assignments.
- Monitoring inventory levels of safety supplies and equipment.
- Tracking safety equipment for inspections or recertification.
- Supporting the Asset Team in process management and customer communication.
- Building and maintaining positive relationships with team members, vendors, and operations.
- Gaining proficiency in company software to train and support the department.
- Performing additional administrative tasks as needed.
- Contributing to a safe work environment by adhering to company policies and safety regulations.
Qualifications:
- Post-secondary education in administration or a related field is preferred.
- A minimum of 2 years of experience in an administrative role, ideally within a warehouse or parts department.
- Familiarity with the commercial construction industry is advantageous.
- Experience in accounting administration, including accounts payable and invoicing.
- Ability to manage multiple projects and collaborate with various teams.
- Strong proficiency in Office 365 and financial software.
- Exceptional organizational skills and time management abilities.
- Effective communication skills, both written and verbal.
- Capability to adapt quickly to changes and resolve issues as they arise.
- Strong interpersonal skills and a commitment to customer service.
- Ability to work effectively in a team-oriented environment.
- Commitment to safety practices.
- Eligibility to work in Canada without sponsorship.
