Position Overview

As part of one of the largest co-op programs in Western Canada, UVic connects students with more than 4,000 work placements annually across various sectors. Our Career Services department is dedicated to assisting students and alumni in their career preparation, while our Community-Engaged Learning (CEL) team promotes partnerships between students and community initiatives.

Role Summary

The Career Development Assistant plays a vital role in providing administrative support to the Engineering and Computer Science Co-op and Career Programs. Key responsibilities include:

  • Responding to inquiries from students, faculty, staff, and employers.
  • Processing job descriptions for publication.
  • Facilitating interview arrangements between students and employers.
  • Maintaining accurate records and generating reports for review.
  • Tracking documentation and assisting with meeting schedules.
  • Preparing and distributing various communications.
  • Supporting the coordination and promotion of on-campus events.
  • Managing budget tracking and expense processing.

The Assistant collaborates closely with colleagues to ensure a high standard of service across all Co-op and Career programs. Reporting to the designated Associate Director, the role may involve supporting additional areas as operational needs arise.

Qualifications

Experience:
Minimum of 2 years in a similar administrative role is required. Relevant experience should encompass:

  • Providing comprehensive clerical and customer service support.
  • Utilizing standard office technology and software (e.g., MS Office).
  • Working with databases and spreadsheets.

Preference will be given to candidates with:

  • Experience in Co-op programs and/or Career Services.
  • Familiarity with UVic information systems.

Skills and Abilities:
Successful candidates will demonstrate:

  • Strong technical clerical skills and adaptability to various technologies.
  • Attention to detail and accuracy in processing documentation.
  • Excellent communication and interpersonal skills, fostering effective teamwork.
  • Financial literacy, including basic numeracy and mathematics.
  • Organizational skills and the ability to manage multiple projects independently and collaboratively.
  • Resourcefulness and the capability to handle various tasks in a dynamic office environment.

Educational Background:
Completion of secondary school or equivalent is required.
